The Process

MedScribe's Implementation Team works with each client to design and implement a start-up plan that will provide a seamless transition from your current situation to the services of MedScribe. The Implementation Team works with your staff to review documentation procedures and content to ensure that all patient encounter information is being documented and dictated correctly and completely. Our team members will work with your staff to provide the training and education necessary to ensure that proper protocol and procedures are in place.

MedScribe will provide the client with an on-site transcription server that will be utilized to gather patient ADT information, receive, process, store, print, or electronically interface the transcribed records when they are returned from transcription.

MedScribe interfaces into health information systems for data transmissions using HL-7 standards. Dictation and data are securely transferred to protect the integrity and confidentiality of PHI (protected health information) in a manner that respects the patient's right to privacy.




Transcription

Our team of professional medical transcriptionists listen to the physician’s dictation and create transcribed records.  The transcribed records are then transmitted through a secure HIPAA compliant connection to MedScribe’s on-site transcription system and client delivery system.

Once the transcribe record is returned to the client, the on-site computer system processes and stores the record based upon criteria provided by the client.  The system has the option to print directly or through networked printers located throughout the facility.  In addition, there are many ways we can interface with your main health information system to provide for electronic signature and record archiving.




Integration

MedScribe will provide the client with an on-site computer transcription system that will be utilized to gather patient registration information, receive transcribed reports, process, store, print or electronically interface each transcribed report.

Dictation

MedScribe believes in giving clients options.  Most physicians dictate directly into their dictation server.  MedScribe then exports the dictation automatically to be transcribed.   We can also accommodate clients who prefer to dictate directly to our dictation server.  For these clients, MedScribe will provide a toll-free number to access the dictation server.  To begin the dictation the physician simply calls the toll-free number, enters an unique facility code, the physician identification number, document report type and the patient encounter number.  The dictation server is available 24 hours per day, 365 days per year.  Once the dictation is complete, the physician can hang up the phone or begin another dictation.

MedScribe uses the latest digital dictation systems to support all physician dictations.  Our redundant dictation systems provide for a complete back-up so that the dictation process continues in the event of a system failure or during periods of scheduled maintenance.




Management Reporting

The MedScribe solution provides reports to assist our clients in tracking transcription time, line counts, chart costs, individual physician costs, turn around time, and invoicing information. Ad-hoc reporting for special dictation ad transcription studies can typically be provided at no or a minimal charge.
